An invoice is the "heart" of international trade and export-import operations.
What is an invoice?
Invoice — is a commercial document provided by the seller (exporter) to the buyer (importer). It lists the sold products, their quantity, quality, and agreed price.
In simple terms, an invoice is an international-level "bill" that serves as a basis for payment by the buyer and confirms the product's value for customs.
7 essential elements that must be in an invoice:
- Document number and date: Each invoice must have a unique number.
- Exporter and Importer details: Full name, address, and TIN.
- Bank details: Which account the payment should be made to.
- Product description: Name, caliber, and quality of the fruits or vegetables.
- Incoterms conditions: (For example: FCA, DAP, CIP) Determines who is responsible for the delivery of the cargo.
- Price and currency: Unit price of the product and total value.
- Weight (Net and Gross): The difference between the weight with packaging and without packaging must be clear.
2 main types of invoices
Proforma invoice
- This is a "preliminary" document. It is sent at the contract conclusion stage or for the buyer to make a prepayment. This is not yet a final bill, but a letter of intent.
Commercial invoice
- This is the main document. It is formalized at the time of shipping the cargo. Customs clearance and payment transactions are carried out based on this document.
What consequences can errors in the invoice lead to?
-
Customs hold: If the price in the invoice is suspiciously low compared to the market price, customs will recalculate the value.
-
Currency control issues: If the data in the bank does not match the invoice, there may be delays in money transfers.
-
Fines: Administrative liability may arise for incorrectly stated weight or HS codes.
Important note: The information in the invoice must match 100% with the contract, packing list, transport documents, certificates, and customs cargo declaration.
